CRM integrations documentation

Connect customer calls to CRM context with clear ownership.

Plan TalkChief CRM integrations across identity matching, click-to-call, inbound context, call records, permissions, data handling, and custom workflows.

Build voice into your product.
TalkChief accepts an API request, completes the voice event, and sends a structured webhook back to the product workflow.
Quick answer

Use the supported contract, then test the real workflow.

TalkChief publishes supported integrations including HubSpot, Zoho, and Pipedrive, with additional connectors listed on the product site. The current knowledge base documents a dashboard installation model and options such as default inbound CRM lookup and creating a lead when an inbound caller has no record. Exact actions vary by connector and version. For other ecosystems, APIs and CDR webhooks—and, where agreed, scoped custom engineering—can connect an approved server-side workflow.

Operating model

Follow the responsibility through the system.

This diagram is specific to the crm integrations workflow and keeps authorization, delivery, evidence, and recovery visible.

  1. 01

    Caller or user identity

Normalize the approved number, user, account, and CRM identity before matching records.

  2. 02

    TalkChief call workflow

Inbound or outbound calling applies the configured number, routing, permissions, and user context.

  3. 03

    Connector or API boundary

A supported connector, CDR webhook, or scoped custom service moves only approved data and actions.

  4. 04

    CRM record

The workflow finds, creates, or updates the permitted object under the connector’s current rules.

  5. 05

    Human follow-up and audit

The responsible user reviews the record, completes the next action, and resolves matching or delivery exceptions.

01

Start with the customer journey, not a connector logo

Define whether the user needs click-to-call, inbound caller context, automatic activity records, lead creation, notes, recordings, ownership assignment, or downstream automation. Each action has different permissions and failure consequences. A connector being listed does not mean every action exists in every version.

Decide how phone numbers map to contacts and companies, how shared numbers or duplicate contacts are handled, and which system owns corrections. Normalize formats while preserving the original value when it matters for audit or regional behavior.

02

Grant only the CRM access the workflow needs

Use the connector-specific setup guide and review requested scopes with the CRM administrator. A write permission can create or change customer data; a read permission can still expose sensitive records. Store tokens as secrets, limit installer access, and remove the integration when the business owner or system changes.

Define which call metadata, notes, recording links, transcripts, or AI outputs may enter the CRM. The customer remains responsible for notice, lawful use, retention, access, and deletion obligations in its CRM and communications workflow.

03

Operate matching and delivery exceptions visibly

Track calls with no matching record, multiple possible matches, permission failures, expired credentials, CRM rate limits, invalid objects, and downstream outages. Decide whether to quarantine, retry, or ask a human. Never silently attach a customer conversation to an uncertain record.

Reconcile a sample of TalkChief call records with CRM activities after launch and after connector changes. Test inbound and outbound paths, different countries and number formats, transfers, shared lines, unanswered calls, and the account’s intended retention behavior.

Implementation checklist

Ship only when every owner can show evidence.

  4. 04

Specify identity matching and exception handling

  5. 05

Test representative call outcomes and CRM limits

  6. 06

Reconcile records and assign support ownership
